Where You’ll Add Value
The Leasing Administrator is accountable to the Manager, Building/Property/District/Leasing for renting suites as they become available to ensure the building maintains an optimum occupancy level and establishing good tenant relations and tenant retention.
How You’ll Make a Difference
1. Rent Available Suites
Inspects vacant suites and notifies Manager of any repairs or decorating required for maintenance or marketing; screens all applicants and shows available suites to prospective tenants; completes required leasing papers including entering guest cards into Yardi and collects appropriate deposits; performs credit, landlord and employment checks; ensures tenant applications are completed and given to the Manager for approval; notifies applicant of approval or decline decision and reserves elevator and suite inspection time.
2. Advertising and Marketing
Monitors advertising to ensure information is accurate; suggests and discusses marketing strategy with the Manager; surveys competition product for surrounding area and informs Manager of any changes that would be instrumental in renting suites; arranges mini model displays to assist marketing available suites.
3. Reception and Meeting Facilities
Greets all guests and responds to general inquires and directs to the appropriate person or department, if required; ensures work station is clean and office is equipped with supplies (e.g., coffee, current magazines, candies and fresh flowers) to create an inviting atmosphere for prospective and existing tenants; prepares and orientates incoming tenants with move-in package & building information; ensures vacant suites are staged and market ready prior to showing prospective tenants.
4. Documentation and Reporting
Enters guest cards and leads directly into the Yardi Dashboard; records daily rental calls, traffic and suite showings and maintains records of all available suites and suite rentals; produces weekly rental report and submits to manager.
5. General Administrative Duties
Performs general administrative duties for the department including photocopying, fax transmittal, distribution of incoming and outgoing mail and courier packages, prepares & orientates incoming tenants with welcome package & building information; maintaining required stationery levels for the office/department; communicates with the building staff to ensure proper care and maintenance of Properties including compliance with laws and regulations; reports to Manager any areas of the building and suites that may require maintenance.

The Expertise You’ll Bring
Qualifications Required
High School Diploma. Post-secondary education (e.g. Marketing) is an asset
Minimum 2 years of relevant work experience
Previous experience using Yardi is an asset
Good knowledge of MS Office.
