Where You’ll Add Value
The Coordinator, Retail Leasing is accountable to Leasing for assisting and supporting the leasing executives in deal analysis and transaction coordination, and information gathering. The role also supports the broader retail leasing function through the preparation, review, and coordination of lease documentation, ensuring that original business terms and leasing intent are accurately reflected in all draft lease materials. In addition, the Coordinator assists in the creation of portfolio marketing and leasing packages to support business development initiatives. The position proactively manages workflow among all internal and external stakeholders to maintain efficiency, accuracy, and continuity throughout the leasing process.
How You’ll Make a Difference
1. Draft Agreements
Working with Leasing to assist in preparing original draft versions of Letters of Intent, and Commission agreements as required, through to execution of documentation., Oversees and inputs TADIS’ and intake forms from leasing to legal which reflect the deal terms as negotiated by leasing and solicits and incorporates on-going feedback from leasing staff into lease documentation to ensure consistency of lease documentation and minimization of risks related to the conflict between leasing intent and the wording used in lease documents, requiring efficient and collaborative communication between various stakeholder groups such as Operations at site level, Tenant Coordination as well as legal.
2. Leasing Analysis and Reporting
Performs various analysis and reporting pertaining to leasing activities of individual portfolios including financial analysis and modeling of proposed deals, collection and analysis of market rent data, leasing activity reporting, leasing costs and fees reporting, budget variance analysis, tenant credit information reporting to assist with the leasing plan for the property is executed to budget. Analysis and information gathering for relevant retailers as required.
3. Merchandising Plan and Leasing Strategy
Assist in the development of the Merchandising Plan and the Leasing Strategy for the shopping center to optimize and to build on the market strengths of the property. Ability to generate slide decks and create marketing materials
4. Budgeting and Reforecasting
With a keen attention to detail the successful candidate shall participate in property budgeting and reforecasting for leasing costs, leasing fees and tenant rental revenue in accordance with the existing accounting calendar to ensure that the current budget reflects the best possible estimate of the occupancy status and on-going leasing activity.
5. Lease Expediting
Effectively communicates and coordinates with all parties involved in the leasing effort throughout the process; serves as a support point of contact for internal and external parties such as tenant, tenant representatives, tenant legal counsels etc, for their inquiries pertaining to the status of leasing activities and documents; may be required to coordinate execution of lease documentation in French with Morguard Investments’ Quebec regional office.
6. Lease Tracking
Maintains, as required, tenant lease tracking database to reflect document/deal status for use by Retail Leasing, Retail Lease Administration and other internal groups.
7. Lease Due Diligence
May contribute to dispositions due diligence by facilitating receipt by purchasers of all current lease documents and any lease related documentation completed during conditional purchase period to ensure the owners meet the requirements of the disposition process; may be required to contribute to lease set up/entry for acquisition projects working in conjunction with lease information integrity group.

The Expertise You’ll Bring
Qualifications Required
College Diploma in Business Administration or equivalent
Minimum 2 years of practical experience in retail real estate industry
Advanced working knowledge of MS Office applications.

Preferred Qualifications and Experience
Good analytical skills and systematic thinking is an asset.
Valid Driver’s License is an asset
Commercial Real Estate License is an asset
Experience with Argus or other real estate valuations software is an asset.
