Where You’ll Add Value
The The Administrator, Legal Systems reports to the Associate General Counsel and leads strategic long-term projects while supporting the team on day-to-day legal matters. This role is ideal for someone with a foundation in corporate or real estate law who is technologically savvy and eager to contribute to a dynamic in-house legal team.
How You’ll Make a Difference
1. Legal Technology Platforms
Manage, maintain, and continuously improve systems used internally by the Legal Department (e.g., digital minute books, closing books, and corporate entity management systems), as well as systems created and operated by the Legal Department for end business users (e.g., the contract lifecycle management platform).
2. Legal and Business Team Support
Support the Legal Department and internal stakeholders across a broad range of matters. Coordinate and assist with shareholders’ and directors’ meetings; prepare and coordinate board materials for the board of directors and board committees; and maintain minute books and corporate records for public and private companies. Respond to information requests from tax, finance, operations, and other internal groups, ensuring timely delivery and a high standard of service.
3. Legal Compliance
Coordinate the maintenance and periodic review of enterprise policies and update legal corporate and real estate databases. Prepare and file annual corporate documentation, securities, regulatory, and other corporate documents with government authorities; draft resolutions and related corporate documents; and maintain procedure guides for the corporate secretary’s office. As required, assist with corporate and real estate transactional work, including acquisitions, dispositions, and financings, and coordinate with external counsel on litigation file management.
4. Reporting and Other
Create defined reports using data extracted from legal systems and platforms, and distribute them to a broad audience including legal, business, and external stakeholders. Provide general administrative support including arranging and coordinating meetings, formatting reports, maintaining filing systems, and performing document management tasks. Any other job-related duties and/or projects as assigned.
The Expertise You’ll Bring
Qualifications Required
An undergraduate university degree and/or a college law clerk diploma with excellent academic credentials.
Minimum 3 years of experience in a law firm or in-house legal department, preferably in real estate, corporate, commercial, and/or securities law.
Strong working knowledge of Microsoft Office applications (Word, Outlook, Excel).
Experience with legal technology and processes, or a project management qualification with demonstrated practical experience.
Knowledge of corporate entity management systems is an asset.
